Frequently Asked Questions (FAQs)

  1. What are the System Requirements?
    Vacation RentPro runs under Windows XP, Vista or Windows 7, (Vista or Windows 7 is preferred for a better look).  It requires a standard system with at least 1GB of disk space and 1GB of memory.  Microsoft Outlook is recommended but not required, (Outlook 2003 or higher, 2007+ preferred).  Outlook allows additional features in VRP, including integration with Outlook Calendar, ability to read email Inquiries, import Contacts and generate formatted Html emails with images, tables, colors, fonts, etc.  Note: VRP sends email out only, so Outlook does not need to be your primary mail program unless you use the option to read email inquiries directly from Outlook.

  2. Does VRP run on a Mac?
    Vacation RentPro is designed to run under the Windows operating system.  In order to run Vacation RentPro on a Mac, you will need to have the latest Mac OS X Leopard, which allows you to install and run Windows using the included Bootcamp utility.   3. Can I access my data from Remote Locations?
    Vacation RentPro can be accessed from remote locations using any of the Remote Access Methods mentioned below.  It is designed as a Local Network or Desktop application, not a Web-based application, for the following reasons:

    1. Provides Immediate startup and response time for higher productivity and efficiency.

    2. Requires No monthly service fee.

    3. You control who has access to your confidential data (credit card numbers, tenant information, travel plans, your business revenue, etc.)

    4. Access your data anytime.  If your internet is down or a web-based system is unavailable, your business will not be brought to a stand-still.

    5. No dependency on another company's ability to stay in business.  You own the software and your data.

    6. Integration with other applications. VRP can interface with Outlook Calendar, Contacts, Excel, your Email, QuickBooks, Quicken, Skype, as well as HomeAway and Webervations.

    7. The Technology available today enables accessing remote applications on your local network or home office easy, fast and secure.  (See below).

    Most importantly, Vacation RentPro provides a rich feature-set not found in many other applications costing much more.  It provides the ability to view and update multiple types of information simultaneously.  It provides instant access to your data.  It provides integration with Outlook Calendar, QuickBooks, Quicken, Skype and your Email programs.  It optionally interfaces with Webervations.com to allow Online Bookings by guests.  It automatically updates and verifies your HomeAway / VRBO calendars.  It provides powerful Filtering and Reporting capabilities with the option to export to Excel, PDF, Word and other formats.  It provides the ability to quickly reply to Rental Inquiries from online advertising sites (such as HomeAway, VRBO and others) with professional Quotes, Available Dates or Property Lists.  It provides alerts and reminders.  It optionally synchronizes Bookings with Outlook Calendar, which can also be synced with Google Calendar and most mobile phones/PDA's.  It also creates and posts Web pages to your own web site, including: Availability Calendars, Cleaning Schedules, Property pages, Property Group pages and various Reports.  It provides the ability to Backup and Restore your data to your own web site for secure, off-site backup requirements.  And many other features.

    Vacation RentPro runs on your computer or local Network, the same as QuickBooks and other database applications, but with the ability to allow multiple users to view and update the same information simultaneously.

  4. Methods for Accessing Vacation RentPro from Remote Locations:
    Vacation RentPro can be accessed from remote locations through the Internet using Windows Remote Desktop or third-party products such as: LogMeIn-Free, LogMeIn-Pro, LogMeIn-Hamachi, GoToMyPC, TechInLine, RealVNC, TightVNC, Citrix or any other product which allows you to access your PC or Network through the Internet.  Our recommendation is LogMeIn.  It's fast and easy to setup.  Also, Windows Remote Desktop is included in Windows, and is also easy to use.  (Click the link for instructions).  Note, you can get your computer's IP Address Here for use with Windows Remote Desktop.
  5. In addition, you can store Vacation RentPro's database on a portable USB device or memory card so that you can take your data with you and use the program and data on different computers which are not connected.

  6. What type of support can I expect?
    We are happy to answer short questions free of charge.  Usually, these result in directing people to the Help document in the software.  If you feel you need more help, and the calls will extend beyond 15 minutes, we ask that you purchase a 1-hour support ($40) option on the Purchase page.  We put a lot of effort into making the software as easy and intuitive as possible, while providing a wide range of features and full documentation.  Usually, once people start using the basic features and get familiar with searching for keywords in the Help document, they are off and running on their own.

  7. What are your hours of support?
    We are available 7 days a week, usually from 7am to 9pm, Hawaii time.  You can email or call us anytime.  If we cannot answer immediately we will get back to you very soon.  Please note, if your questions are many or tend to be open-ended, we prefer that you call us, as it is easier to answer these types of questions with a phone call.

  8. Can I upgrade my license for additional properties or users in the future?
    Yes, we do not charge any additional fee for doing so.  However, you must be current with your annual support renewal.  Simply purchase the price difference for the new license on the Purchase page.

  9. How does Vacation RentPro compare to other VR software?
    As far as a feature for feature comparison, that is a difficult task, as many software vendors do not advertise their price nor provide an evaluation easily.  We strongly believe that Vacation RentPro offers the best VR solution with the widest range of features and the absolute best price.  Our customers agree, and we continually receive praise and Compliments from people who have used other VR solutions in the past.  VRP is a mature product and was first introduced in January, 2006.  Since that time, we have incorporated a wide range of features for special needs of all types of VR management requirements, (see the Updates page).  We have many customers who are using VRP after having spent a lot of money and time with other software vendors, and are thrilled to have found us.  We openly list all of the features, price options, documentation, and provide a free trial download without any questions asked.  We think this is the way software ought to be.  You should be able to see exactly what you're getting and for how much, right up front.  In the end, it all depends on how the software looks and feels to you and the features it provides.  We are confident in our product, and we openly invite you to see for yourself how Vacation RentPro can work for you.

  10. Are there any recurring charges?
    No!  Once you purchase a license, there are no recurring charges, other than after the first year you may optionally choose to continue to receive new updates to the software and basic support.  See below.

  11. What is the $89 annual updates renewal option?
    The software license includes one full year of free updates and support.  If, after the first year you wish to continue to receive the latest updates of VRP and support, you can optionally purchase an additional 1 year renewal for $89 from the Purchase page.  Please note, this is the current renewal price (and has been for over a year), however it is subject to change.

  12. How much does it cost for the Online Bookings option through Webervations?
    One of the reasons we decided to build the optional interface with Webervations.com is because they offer the absolute best price available for providing online bookings capability.  As of February, 2009 their price for Webervations 1.0 is $1.22/month per property (for 9 properties), and less with additional properties.  Other sites we looked at charge an average of $29/month per property.  Please see our Online Bookings page for more info about Webervations and the interface with VRP.

  13. How does VRP integrate with my Website?
    VRP has two options for integrating Availability Calendars with your existing website property page(s).  The first option simply uploads html pages to your existing website using the FTP server name, account/password and folder/file name you specify.  This can be specified at the property or property-group level in VRP.  You can then simply add "links" to your existing website such as: "Click here to check Availability", which point to the html web pages uploaded by VRP.  You can quickly update any changes effecting Availability Web Calendars for all properties within VRP as often as you like - with just one click.  Here is an example of a "live" site created by VRP which incorporates both the Webervations Online Bookings form and VRP's Availability Calendar.

    The second option for integration is using Webervations.com and the Interface that VRP includes.  Webervations provides information on their site on how to integrate Availability Checking and Online Reservations into your existing website property pages, (by inserting the html code they provide).  Please see Webervations.com for more info.

    In addition, VRP can optionally post Cleaning Schedules, Property Pages and  Property Group Pages to your website.  Property pages can optionally have the Availability Calendars embedded or include a link.  If you wish, you can also add your own links to these pages by inserting Html within the property descriptions.

  14. Is there any way to link VRP with HomeAway, VRBO and Rentors.org calendars?
    Yes, VRP interfaces with your HomeAwayPM account for updating HomeAway calendars.  If you do not have a HomeAwayPM account VRP provides another feature to automatically check and verify all your HomeAway calendars (same as VRBO, Rentors.org, VacationRentals calendars, etc.) for accuracy. If any changes are needed a window pops up on top of your browser showing the exact changes to make along with links to each calendar. This is the closest we can come to automating this process, since HomeAway currently does not provide any means to update their calendars externally. We have talked with HomeAway about this and hope they will provide this ability in the future. When they do we'll be on it. In the meantime, this feature works extremely well and provides the assurance that your HomeAway/Rentors.org/VRBO, etc. calendars are up to date.  In addition you can optionally have booked dates on the HomeAway calendars "imported" as Blockout Bookings into VRP.  This can be useful if you allow owners and other parties to update the HomeAway calendars with their own bookings.

  15. Is there a Credit Card or eCheck Payment Processing feature?
    Yes.  VRP includes a feature which lets you use any web-based Payment Processing service (Virtual Terminal) you wish to use or already have, without requiring an additional monthly Gateway fee.  This feature displays your Payment Processing website and allows you to automatically fill in the required information including credit card number, Tenant name, address, amount, etc. with just one click.  This feature does Not require an additional monthly Gateway fee, as is typical with other payment processing software.
